We will be using Office 365 to book our meeting rooms effective June 2022.

There will be a total of 8 Meeting Rooms

In order to book Meeting Rooms, you will require to have our company email, and add the resources to your calendar.

Also, if the Room you booked is unavailable with your date/time selection, it will decline your meeting invitation.


Booking Meeting Room (Option 1: From Outlook Desktop)

Follow Steps 1 to 4 if this is the first time to add the Rooms to your calendar to view its availability. 
If you already have the Rooms added to Calendar, proceed to Step 5.
  1. Open your Outlook Desktop Application
  2. Click the Calendar icon.

  3. Ensure you are at Home tab, click Manage Calendars --> Open Calendars --> From Room List...
  4. Select all Rooms displayed, and press Enter or click the Rooms button, and click OK.
  5. At your Outlook Calendar, click on New Meeting.
  6. You may type in the room's email address or, click on the To... button.
  7. Select All Rooms from Address Book, which will then show you all the rooms available 

  8. Double click on the Room you wish to use, and click OK
  9. Type in your meeting details, and click Send. 

Booking Meeting Room (Option 2: From Outlook Web App)

Follow Steps 1 to 6 if this is the first time to add the Rooms to your calendar to view its availability. 
If you already have the Rooms added to Calendar, proceed to Step 7.
  1. Login to office.com
  2. Click Outlook app and access Calendar.
  3. On the left pane, click on Import Calendar.

  4. Left-Click Directory, and enter "Room", which will display the Rooms that we have.

  5. Left-Click the Room which you would like to add its calendar, and click Add.
  6. Repeat Steps 1 to 5 for each Room you would like to add.
  7. On the left Pane, Click New Event
  8. Fill up your Meeting details.
  9. Left-Click Search for a room or location, and select the Meeting Room you wish to book.

  10. Ensure that you have filled in all Meeting information, invited attendees, and chosen a room, click Send.
